This position conducts data management, patient follow-up, reporting and other support functions related to the reporting and maintenance of cancer data in accordance with established guidelines set forth by the states central Cancer Registry, the American College Of Surgeons Commission On Cancer and the National Cancer Institute. The work includes conducting patient follow-up, participating in case ascertainment measures, abstraction of eligible cancer cases, participation in completing cancer conference and providing assistance with general and special needs in Oncology data management.
Performs data collection, coding, and abstracting functions in accordance with established guidelines and licensure requirements. Maintains audit and quality assurance processes for case findings, abstracting, coding, follow-up and data processing procedures.
Conducts Patient follow-up. Establishes and maintains a 90% follow-up rate on patients diagnosed within the last 5 years and an 80% rate on all eligible registry patients from registry date. Prepares and distributes necessary follow-up letters on former patients due for contact.
Performs necessary case finding functions to ensure the complete ascertainment of eligible cases. Multiple functions include the capture of pathology/cytology reports from the pathology department, review and categorization of said reports in determining case reportability, maintenance and updating of monthly disease indices.
Assists with requests for registry data; extracts data from assigned company facility database and generates reports as needed. Maintains confidentiality and security of patient data in accordance with regulatory requirements.
Participates in completing the necessary functions to host Cancer Conference (Tumor Boards) meetings within the assigned facility. This includes preparing case histories, ordering pathology slides and radiology reports, preparing meeting notifications, assisting with meeting preparations. Analyses data and prepares reports.
As assigned, conducts in-service educational programs for medical record/cancer registry students, new employees and volunteers.
High school diploma/GED or equivalent working knowledge. Plus advanced education in medical terminology, anatomy and physiology, including advanced related oncology terminology and surgical/diagnostic procedures as it relates to cancer.
Must have a demonstrated knowledge and experience in coding, abstracting and/or cancer data management as normally acquired through 6 months of clinical or educational accredited Certified Tumor Registrar (CTR) program. Must have CTR or AA degree or 60 college level credits to qualify and pass the CTR exam within 3 years of hire date.Requires the ability to interpret and comprehend information contained within the patients medical record (e.g. terminology, disease process, procedures, etc.), to review pathology reports and medical/health records discharge analysis, demonstrate a working knowledge of International Classification of Diseases for Oncology (ICD-0) coding principles, American Joint Committee on Cancer (AJCC) and Surveillance Epidemiology and End Results (SEER) Program extent of disease staging principles and Collaborative Staging as created by the Collaborative Staging Task Force of the American Joint Committee on Cancer. Must be familiar with chemotherapeutic agents and other modalities, e.g., radiation used in the treatment of cancer. Requires the ability to abstract cancer data from the patients medical/health record using the above standard setters with regard to abstracting and coding procedures.Candidate must be willing to obtain CTR, when eligible, if not currently certified. Must have excellent organizational, written and verbal communication skills, and the ability to prioritize multiple work projects and tasks.
Must be able to work effectively with common office computer software, the electronic medical records system and databases, spreadsheet and graphical programs.
Certified Tumor Registrar (CTR) certification or CTR eligible Registered Health Information Technologist or Registered Health Information Administrator certification (RHIT or RHIA)One or more years of Cancer Registry experience Knowledge of American College of Surgeons Program Standards for an approved cancer program.Knowledge of cancer registry software.
